Fuel orders move through several hands: customer, front desk, line technician, truck, and eventually billing or reporting. The more places information has to move, the easier it is for details to get lost.
A better fuel workflow does four things well.
Capture the order once
Record the aircraft, fuel type, quantity or fill instruction, timing, and important notes when the request is received.
The line technician should not have to reconstruct the order from a radio call, handwritten note, and separate conversation.
Make the current status visible
The desk should be able to see whether the order is waiting, underway, or complete without repeatedly calling the ramp.
The ramp should also be able to see changes to timing or instructions without depending on word of mouth.
That does not replace radio communication. It gives routine information a place to live.
Record completion where the work happens
The longer the gap between fueling and documentation, the more likely something will need to be reconstructed later.
Capture the required completion information as close to the aircraft as practical: final quantity, meter readings where required, fueling source, and any exception or correction.
Close the loop
A fuel order is not fully complete if the physical fueling is done but the record is missing information needed for billing, reconciliation, or review.
Before closing the order, make sure the required data is there and any discrepancy is visible.
Fuel-quality control remains a separate responsibility. FAA and industry guidance address aircraft fuel handling, quality control, training, and required records. Operational tracking should support those procedures, not replace them.
